Wards & Bed Management

The ward map is the real-time picture of who is where in the hospital.

The bed map

Wards → Map — a visual floor plan of every ward. Each bed is a tile coloured by status:

  • Green — vacant, cleaned, ready.
  • Yellow — vacant, awaiting cleaning.
  • Blue — occupied.
  • Red — under maintenance.
  • Grey — reserved.

Click a tile to admit, transfer, discharge, or update the bed status.

Admitting a patient

Patient page → Admit — pick the ward, the bed, the admitting doctor, and the diagnosis. The system:

  1. Marks the bed Blue.
  2. Opens an encounter (the parent record for everything that happens during the stay).
  3. Generates an admission slip.
  4. Adds the bed-day charge to the running bill.

Transfers

Drag a patient tile from one bed to another. The system records the transfer, frees the old bed (Yellow → cleaning), and adds the new ward's rate to the bill from that moment.

Discharges

Patient page → Discharge — pick the discharge type (routine, DAMA, transfer, expired). The system:

  1. Generates a discharge summary draft.
  2. Locks the encounter for billing.
  3. Frees the bed (Yellow → cleaning).
  4. Notifies billing if any balance is due.

Ward types and rates

Settings → Wards — configure ward types (general, semi-private, private, ICU, NICU). Each ward type has:

  • A bed-day charge.
  • A nursing-care charge.
  • An assigned billing class.

Audit trail

Every bed move is logged: who moved the patient, when, from / to which bed, with what reason. Required for accreditation (NABH, JCI).
